Legal Administration


A nationally recognized boutique energy law firm headquartered in Washington, DC with satellite offices in California and Tennessee is seeking an experienced Firm Administrator to oversee the firm’s financial operations, human resources, technology, facilities, and day-to-day business operations. 

The position reports directly to the Shareholders of the Firm.  The ideal candidate will have demonstrated knowledge and experience in accounting, benefits administration, human resources and operations, and enjoy a position where every day is different. The position encompasses a wide range of activities with involvement in all phases of the administration, personnel, finances, facilities, and business systems.  The Firm Administrator is supported by the part-time Accounting Assistant who assists with day-to-day accounting functions. 

The Firm works on a hybrid work schedule, meaning that employees are expected to work in the office at least two (2) days per week.  A Firm Administrator may need to work from the physical Washington, DC office more than two (2) days any particular week as duties may require.

Responsibilities include:

Finance & Accounting

  • Perform and facilitate the Firm’s accounting functions, including billing, accounts receivable, accounts payable, payroll, financial reporting, budgeting, and coordination of year-end financial statements with the Firm’s outside CPA
  • Administer the Firm’s financial systems including QuickBooks Online, Bill.com, Sage Expense Management, and related accounting platforms
  • Prepare cash flow forecasts and other financial analyses for Shareholders

Human Resources & Benefits

  • Oversee the Firm’s human resources function, including recruitment, onboarding, professional development, employee relations, performance management, retention, and offboarding for all non-attorney staff, as well as onboarding and offboarding of attorneys
  • Administer the Firm’s employee benefits, HRIS, payroll, and retirement plans, serving as the primary liaison with outside benefit providers and brokers
  • Maintain personnel records, support performance review processes, and assist the Shareholders with employee-related matters. The Firm currently employs approximately 7 non-attorney professional staff.

Operations, Technology & Facilities

  • Manage the day-to-day operations of the Firm including facilities, office equipment, security and vendor relationships
  • Serve as the Firm’s primary liaison with the Firm’s managed IT provider and technology vendors, overseeing the administration of the Firm’s business systems, including accounting, case management, document management, HRIS, and other operational platforms
  • Coordinate office maintenance, space planning and facilities-related projects as needed

Shareholder Support

  • Work directly with the Shareholders to support short-term and long-term organizational goals
  • Prepare reports, analyses, and other materials for monthly Shareholder meetings
  • Manage special projects and other assignments as directed by the Shareholders

Experience, Skills & Qualifications

  • Advanced understanding accounting principles, financial reporting, and business operations
  • Experience administering business systems, including accounting, HRIS, legal practice management, document management, and other cloud-based software platforms
  • Excellent written and verbal communication skills
  • Strong attention to detail and a proactive, solution-oriented approach
  • Strong project management, organization, and problem-solving skills with the ability to manage multiple priorities simultaneously
  • Technically proficient and comfortable learning and administering new technologies; experience with QuickBooks Online, Bill.com, Centerbase, NetDocuments, iSolved, or similar platforms is preferred
  • Ability to exercise sound judgment, maintain confidentiality, and work effectively with attorneys, professional staff, vendors, and outside service providers
  • Bachelor’s degree in Business Administration, Finance, Accounting, Human Resources, or a related field preferred (equivalent law firm administration experience will be considered)
  • Minimum of 5 years of progressively responsible experience in law firm administration or professional services operations
